What is the job?
Do you enjoy making things run smoothly, finding order within chaos and setting people up for success?
Our new PA to International Senior Leadership will be responsible for managing 4 International VPs, calendars, travel and generally enabling them to operate effectively across their functions. You will work with a degree of autonomy but, you’ll report into Natasha Daine the EA to President and support her on ad hoc administrative tasks when needed.
You will act as a trusted point of coordination, ensuring smooth day-to-day operations and supporting strategic priorities through exceptional administrative, organisational, and communication skills.
What will you be doing?
- You will proactively support the VPs with management of their complex diaries, meetings & schedules whilst understanding strategic priorities and deadlines. It is important that you can prioritise expertly and act as a gate keeper for all communications and requests that the VPs receive.
- You will coordinate travel, logistics and events on both an international and domestic basis, including planning itineraries, logistics and organising visas. This will require you to collaborate with internal and external stakeholders to align schedules and organise meetings, conferences & events.
- You will manage documentation and communications which includes drafting, formatting, proofreading & distributing correspondence, documents, presentations and reports.
- You will manage finance and procurement tasks such as raising purchase orders, processing invoices, reconciling expenses and liaising with Finance to ensure timely payments to suppliers.
- You will act as a central liaison between VPs and other departments to gather information and prepare reports or presentations.
About you
- You will have a few years of demonstrable experience as a Personal Assistant to senior leadership, where you’ve developed effective time management and multitasking skills. Travel & calendar management experience is important.
- You are someone that takes the initiative but, also knows when the right time is to ask questions or for support.
- You are someone that prides themselves on their ability to communicate clearly and effectively with senior stakeholders, whilst building strong working relationships.
- You have strong IT skills, being able to use the core programs in Microsoft Suite to draft and manage documents & presentations.
