Film Duties

*         Schedule all weekly shows across public screenings and events in line with instructions from the Film team.

*         Liaise with the Film team and Distributors regarding DCP and KDM delivery and related problem solving. 

*         Ingest and test all DCPs ensuring that all content is ready in good time for each show / event liaising with distributor tech teams where necessary. 

*         Report tech issues to NOC / FT / Events team escalating business critical issues as necessary. 

*         Seek approvals from the film team for all schedule changes and event hires. 

Event Duties

*         In collaboration with the UK VH team, manage and co-ordinate the planning of all events.

*         Manage the delivery of all events to the highest standards ensuring client expectations and relations are managed and met throughout. 

*         To attend on site and oversee the effective execution of each event managing suppliers and the cinema team allocated in support of the event (TL’s and TMs) throughout.

*         To manage all event administration (including but not limited to; developing event briefs and cinema gameplans, maintaining the venue schedule, ordering retail goods, preparing contracts and invoices).

*         In collaboration with the Venue Hire sales team, ensure the venue tracker is updated at all times.

*         Respond to all distributor enquires within 3 hours ensuring all communication is accurate, diplomatic and professional.

*         In collaboration with the management team, to ensure all retail orders are placed and prepared in good time.

*         Working closely with the cinema management team, secure and rota the required number of staff required in good time for the effective delivery of each event.

*         To upsell products and services whenever possible (e.g. retail goods)

*         Create event briefs and cinema game plans as necessary. 

*         Report and escalate facilities issues that impact on event delivery bringing any “show stoppers” to the immediate attention of the VH & Cinema management teams. 

*         To undertake pre-event cinema checks reporting and escalating issues where necessary. 

*         In collaboration with the cinema management team, host a team briefing ahead of each event and allocate roles and responsibilities.

*         Arrange, schedule and oversee event rehearsals and tech checks. 

*         To maintain high standards across event execution and client satisfaction.

*         Organise and schedule digital media and print services as required.

*         To communicate all corporate venue hire enquiries to the Venue Hire Corporate sales manager within 3 hours of receiving the enquiry where possible.

*         To ensure all client and supplier H&S documents are received and in order, meeting CW compliance and H&S standards at all times (including RAMs, Liability insurance, PAT testing certs, allergen, hygiene certs etc.)

*         Ensure effective communication with the management teams providing clear event briefs and all event management plans as necessary.

*         Undertake any other ad hoc event management duties as requested by the Venue Hire Senior Conference and Event Manager

*         To ensure the prompt and accurate under banking of all products after each event and report sales to the central VH team.

Cinema Operations

*         Time permitting – to assist with general cinema operations as directed by the Cinema GM and management team.

*         Support the cinema team in creating a clean and well presenting cinema to support customer satisfaction around event hires.

*         Ensure the company hiring the venue leave the cinema in a presentable manner post any Events to ensure cinema standards are maintained.
